Senior Program Support Associate

Job Description

Walton Enterprises is seeking a proactive, detail oriented, and execution-focused individual to join the team as a Senior Program Support Associate. The ideal teammate is creative in their approach to solving problems and can work independently.

About the Position
The Senior Program Support Associate will work as part of a team under the supervision of the Director of Special Projects.

What you will do
The primary duty of the Senior Program Support Associate is to support the smooth execution of the family members’ philanthropy grant making, operations, budgeting and strategy processes. This role will work closely with program officers, grantees and ultimately the entire department. Specific duties include:


Responsibilities

• Assist program officers in the grant making process which includes pre-grant research, financial analysis, editing and strengthening grant write-ups, proofreading and preparing internal grant documents, tracking grant letters and payments, populating grant report forms and templates, coordinating grantee reporting, collaborating with the budget team to track grants that are in the pipeline, and following up on payments and outstanding grantee reports;

• Perform operational component of the grant management process, such as coordinating the proposal intake process, verifying nonprofit eligibility status, generating correspondences as needed, requesting additional information from applicants as needed, creating and maintaining database/physical system records, preparing routine and custom management reports;

• Perform operational, technical, and analytical tasks to inform decisions of program officers and senior leadership;

• Analyze information on historical giving and grant making;

• Within expected confidentiality guidelines, serve as liaison between individual foundation and broader back office grant administration for information and updated processes; ensure changes in process are communicated and incorporated into program grant-making processes as appropriate;

• Help train and on-board new program staff as it relates to the grants management system and processes;

• Schedule appointments and meetings, manage calendars, complete expense reports and coordinate travel arrangements; coordinate events/meetings and professional development opportunities for team members during team retreats and other related events, and handle preparation of logistics and materials;

• On a limited basis as appropriate, act as a representative of the foundation to grantees and external partners in a manner consistent with the values and expectations for staff;

• Provide operational feedback for improved team efficiency;

• Special projects as assigned;

• Other duties as assigned based on program or foundation priorities.


Who we are looking for

Qualifications required for your success
• 3+ years’ full-time work experience, preferably in an administrative role in an office environment
• Experience interacting with both internal and external “customers”
• Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, Adobe Acrobat, and SharePoint
• Excellent written and oral communication skills including proofreading
• Proven organization and time management skills
