The Whole Health School of Medicine and Health Sciences is a sister institution to the Whole Health Institute. The Whole Health School of Medicine and Health Sciences (WHSOM) is a new and developing free-standing, degree-granting medical school. It will train a diverse group of students in acquiring the knowledge, skills, and abilities they need to transform health care at a local, regional, and national level, applying a whole-person approach to health and disease while empowering and equipping those they serve to live their lives to the fullest.
The Role:
The Whole Health School of Medicine and Health Sciences is seeking a skilled, highly motivated, and entrepreneurial individual to join the team as an Executive Assistant supporting the Founding Dean. The ideal teammate will have the demonstrated ability to be creative in their approach to solving problems and can work independently.
The primary duty of the Executive Assistant will be to provide administrative and project support to the Founding Dean of the Whole Health School of Medicine and Health Sciences in support of establishing a medical education program in NW Arkansas. This fast-paced position plays a key role in the success of the entire team.
What You Will Do:
Provide operational support to the Founding Dean including scheduling meetings, conference calls, maintaining calendars, arranging travel, coordinating correspondence. Provide necessary materials for the Founding Dean to prepare for meetings and calls
Participate and take notes in internal meetings and/or phone calls, tracking takeaways and follow up items
Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications and presentations on the Founding Dean’s behalf
Anticipate the Founding Dean and executive leadership team operational needs and respond adeptly to rapidly changing priorities
Track, monitor and follow-up on projects and action items that stem from the Founding Dean; work closely with members of the leadership to receive regular updates on outstanding items
Manage, coordinate, and arrange the Founding Deans and other visitors travel and travel-related activities, including hotel booking, transportation, and meal coordination
Work closely with other faculty and staff of the Whole Health School of Medicine and Health Sciences to ensure consistency and efficiency with respect to the Dean’s activities and all processes and procedures of the school
Assist in the accreditation prosses for the school
Proactive approach to problem-solving with strong decision-making capability, especially with deadline pressures
Qualifications required for your success:
3+ years full time professional experience providing senior-level support
Exceptional organizational skills and attention to detail
Team-player mentality, with an enthusiastic willingness to jump in wherever needed
Experience in communicating in a professional manner (both written and verbal).
Project management skills that reflect the ability to perform and prioritize multiple tasks simultaneously and seamlessly, and follow-through consistently
Proficient in Microsoft Office Suite and virtual meeting platforms. Ability to learn new software applications
Ability to function in a fast paced environment
Ability to travel, as needed (approximately 10%)
