Job Description

Walton Enterprises is seeking a skilled, highly motivated, and entrepreneurial individual to join the team as a Senior Benefits Program Manager on our People Team.


About the Position

You’ll join a top-notch team and support strategic and operational objectives by managing the administration of multiple benefits plans and programs by identifying customer and operational needs, developing, communicating, and executing business plans and priorities. You will also be responsible for developing and managing complex project plans and timelines for Benefits and Human Resource (HR) projects and initiatives.


What you will do

As Senior Benefits Program Manager, you will develop, execute and manage Benefits and Human Resource processes for Walton Enterprises, multiple entities and vendor partners by identifying customer and operational needs; developing and communicating business plans and priorities; removing obstacles that impact performance; providing resources; identifying performance standards; measuring progress and adjusting performance accordingly; developing contingency plans; and demonstrating adaptability and supporting continuous learning while ensuring adherence to the organizations objectives, policies as well as state and federal laws and regulations.

Responsibilities

• Driving the execution of multiple complex business plans and projects for Benefits and HR including developing and managing detailed project plans and timelines.

• Manages large-scale rollouts of new programs affecting all associates across WEI and multiple entities by preparing estimates for resource requirements, coordinating planning across the company and externally with vendor partners and entity partners.

• Identifying and mitigating potential compliance issues and defining and communicating expectations for quality outcomes and process standards.

• Identifying trends, tracking progress, and developing and providing status reports to Senior Leadership.

• Responsible for developing strategies and programs to support actions to lift WEI team performance, improve associate experience and drive improved engagement across WEI.

• Manages external provider relations by developing requests for proposals; recommending and executing screening and selection process; negotiating terms and conditions of contracts under the guidance of senior leadership; setting standards for acceptable outcomes; monitoring and identifying performance issues; recommending and executing solutions to performance issues; establishing and reinforcing desired behaviors and service expectations to ensure accurate administration and compliance with applicable laws.

• Ensures the business needs are being met by evaluating the ongoing effectiveness of current plans, programs, and initiatives; consulting with business partners, leaders, co-workers, or other key stakeholders; soliciting, evaluating, and applying suggestions for improving efficiency and cost-effectiveness.

• Analyzes a wide variety of benefits programs and proposes possible programs to senior leadership by researching and analyzing industry trends, best practices legislative trends, current plan usage, associate needs, and external competitiveness; assisting in the actuarial review of benefit offerings and forecasting; and working with Finance on short- and long-term cost implications.

• Knowledge of Workday systems, report development capabilities, and ability to extract and work with large and complex data on multiple platforms including Excel and Access; organize and use data to analyze trends and facilitate quality assurance reviews for projects like Total Compensation Statements, 1095-C’s, W-2’s, Paid Time Off roll-over and payouts, etc.

• Communicates benefits and people information across the organization and entities by developing, reviewing, and validating plan correspondence, training materials, tools and resources; developing and delivering a complex training plan for WEI and entities; and assisting in educating team members and HR partners to roll out the plan across the companies.

• Responsible for working with design team, internal and external legal counsel to update and timely disseminate various plan documents to the appropriate eligible associates including but not limited to the Summary Plan Description, annual notices for Walton Enterprises and various fully insured plans, the Summary Annual Report, etc.

• Creates processes and policies to maintain and ensure compliance with IRS, ERISA, DOL, HIPAA, COBRA applicable laws and regulations by monitoring and responding to new and emerging benefit and people related legislation; interacting with internal and external legal counsel; presenting proposed programs; seeking approval from senior leadership, and preparing and maintaining required documents; executing company wide reporting including 1094-C, 1095-C, W-2, annual notices, etc.; and assisting in educating cross-functional teams regarding issues and implications to ensure compliance.

• Assists senior leadership in developing strategies by analyzing and understanding pending and proposed legislation related to benefits and people programs and plans; advising senior leadership of the impact legislation will have on both the company and associates.

• Support the ongoing development of best practices, tools and resources for Benefits and HR project management and execution.

• Assisting People leadership and cross functional partners with forecasting of costs and development of departmental budgets.


Who we are looking for

We’re looking for a Benefits and HR professional who has strong benefits administration and Human Resource program development, communication, and management experience. Is proficient at creating and delivering reports, spreadsheets, charts, presentations, and training across the business when required. Having strong communication skills is key as you will build relationships with associates at all levels and liaise with HR partners and other internal and external clients. The position can be demanding and requires juggling and prioritizing of multiple large-scale projects and initiatives.

Qualifications required for your success

• Eight to ten years of experience in Benefits and HR Operations and administration, in areas such as benefits, payroll, employee financial, retirement, and/or health and welfare benefits, training and/or equal opportunity compliance.
• Previous project management experience, including demonstrated ability to develop and manage multiple detailed and complex project plans and timelines simultaneously.
• Advanced experience with HR project management tools and methods to include risk management, strategic planning and change management.
• Thorough understanding of local, state, and federal laws involving compensation and employee benefits, employment, HR, and HR policies.
• Excellent verbal and written communication skills, including ability to identify audience appropriate delivery.
• Strong analytical and problem-solving skills.
• Ability to prioritize tasks and to delegate them when appropriate.
• Proficient with Microsoft Office Suite, Excel, Access, and other analytics software with ability to produce detailed and complex spreadsheets, charts, and presentations.
• Proficient with or the ability to quickly learn the organizations HRIS, payroll, and similar employee management software.
