About the Position

Walton Enterprises is seeking a skilled, highly motivated and entrepreneurial individual to join the Denver office as Office Manager. This role will manage the day-to-day operations of the office and serve as the front desk receptionist. This position works directly as a liaison with office operations staff in other offices to ensure a consistent, professional function across the organization as a whole. This role will assist in shaping office culture and creating an environment where all staff can thrive and perform at their best.


Responsibilities

• Manage office operations by developing and implementing systems and processes, and designing and implementing office policies, that maximize efficiency and build culture for all staff; work closely with technology and operations staff to ensure that the office is utilizing technology, facilities, and resources in optimal ways
• Organize day-to-day office operations and procedures, including purchasing/maintaining office supplies, pantry orders (food and supplies), mailing and shipping, reserving conference rooms, maintaining employee database, guest management, visitor calendar, office keys, etc.
• Manage Denver office credit card and prepare monthly expense reports; track office-related spending; assist with preparation of annual Denver office budget; work within established guidelines to ensure fiscal responsibility
• Act as a primary liaison to building management and local office service providers; communicate with building management on issues and problems to ensure a safe and effective office (i.e., mechanical systems, security, etc.); serve as primary point of contact for staff concerns related to the building
• Oversee the front desk, including acting as receptionist, to ensure the function is sufficiently covered at all times, with quality customer service
• Coordinate workspaces for new hires and assist with new hire onboarding; work with office leadership to plan and execute ideas for office space to enhance productivity
• Serve as project manager for office renovations, keeping office leadership and staff informed, and proactively communicating with WEI office operations team
• Assisting Property Management team with office safety and security program, coordinating with both the building management and WEI office operations team
• Assist with scheduling and coordinating logistics and material preparation for large group or VIP meetings and events (i.e., team retreats, board meetings); proactively engage technology team for advance preparation
• Serve as a “culture-builder” by building relationships with staff and staying engaged and aware of potential issues/problems that may impact office culture
• Engage with the social events committee to manage staff engagement and office culture building activities and events
• Other duties as requested based on department and/or organizational need

Qualifications required for your success

• At least 4 years related experience, working in an administrative or office support role interacting with both internal and external “customers”
• Experience coordinating office projects, systems and/or processes; experience managing vendor relationships
• Strong technical skills, including Microsoft Office and office video-communications platforms, such as Zoom
• Ability to sit or stand for extended periods of time and occasionally lift up to 25 pounds

Benefits Information*

Compensation Range: $68,000-$85,000

About the Property Management Department

The Property Management team assists the family members with all property related activities including acquisition, design, and development. They manage a variety of properties including both personal and commercial real estate, vehicles, equipment, and other property related assets throughout the country. The Property Management team also supports the Walton Family Foundation and Walton Enterprises office buildings.
