Club Coordinator

Job Description

Summit Aviation is seeking a skilled, highly motivated and entrepreneurial individual to join the team as a Club Coordinator / Customer Service Representative. The ideal teammate will have the demonstrated ability to interact with the public in a professional manner. This position may require evening and weekend shifts.

You’ll join a top-notch team and handle all aspects of the customer service experience at Summit Aviation.


What you will do

OZ1 Flying Club and Summit Aviation are looking for an organized, self-motivated and hard-working individual to work across teams. The ideal candidate will be a self-starter with the energy and integrity to manage multiple tasks with limited supervision.

About 60% of the role involves providing clerical services to our OZ1 Flying Club members. These include membership dues and aircraft rental billing, scheduling aircraft, making room and table reservations, maintaining our club lounge and setting up new member profiles. About 40% of the Coordinator’s time will be at the Summit Aviation front desk, fulfilling the same duties as a Customer Service Representative plus acting as a bridge between roles. The Coordinator will ensure club members are receiving fantastic service from the front desk and line crew, as well as keeping information channels open across teams.

OZ1 Responsibilities

- Member Onboarding: Enter paperwork and complete online profiles in a variety of programs
- Billing: Ensure monthly dues are drafting correctly for members. Perform weekly billing of aircraft rental and special event billing as needed. Keep payment information for members up to date. Handle member food and beverage billing in cooperation with Ropeswing.
- Flying Member Services: Handle member aircraft and scheduling requests. Ensure members maintain currency in aircraft. Weekly, look through planes to ensure all necessary items are present and aircraft is clean to standards.
- Social Member Services: Schedule conference room and gatherings in club lounge for members. Track checkout of shotguns and fishing equipment.
- Maintain Club Lounges: Purchase supplies and perform cleaning and maintenance as needed at both the VBT and Sugar Creek lounges.
- Special Events: Point person on Sugar Creek rentals. Support club special events.
- Social Media: Take photos at events; help maintain active social media presence
- Assistant to club director: Clerical duties, purchase items, schedule meetings. Respond to member phone calls, messages and emails as directed. Execute event planning details.


CSR Responsibilities

- Answer questions from customers in person and over the telephone
- Check flight school and test center students in and out
- Greet customers as they enter
- Resolve inquires efficiently and with a pleasant attitude
- Exhibit detailed knowledge of the amenities at Bentonville Municipal Airport to visitors
- Assist customers with retail store merchandise purchases

- Bachelor’s degree preferred
- Strong work ethic; self-motivated
- Friendly and professional customer service; respond to customers in a timely manner
- Good organization and prioritization skills. Ability to make independent decisions on a daily basis, addressing the best way to handle and prioritize tasks.
- Team player. Communicate and collaborate across the company daily.
- Maturity to understand the gravity of aircraft safety protocols, the importance of consistent policy implementation, and the careful protection of member personal information
- Interest in aviation preferred; travel by small aircraft may occasionally be required
