Position Summary
Builders Vision is seeking a highly effective and collaborative individual to serve as a full-time Office Manager and Receptionist. This position will manage office operations, serve as a main point of contact for vendors and visitors, and contribute to various special projects. Specifically, this individual will play a key role in preparing for and facilitating the move to Builder Vision’s new West Loop headquarters (anticipated occupancy in in early 2023). Strong organization skills, a can-do attitude, a collaborative interpersonal style, and the ability to represent our values with energy and professionalism will be critical.

Key Responsibilities
Establish and maintain relationships with current and future building management, building security, project managers overseeing new office build-out, WEI, and other external vendors.
Manage facilities, which includes communicating with maintenance / building management, submitting work tickets, and coordinating with various service providers
Maintain a positive office environment which includes coordinating with refreshment/food and office equipment /supplies vendors
Manage visitor reception ensuring guests are properly registered and greeted; Schedule meetings, book conference rooms and resolve calendar conflicts across the office as needed
Receive, screen and route correspondence and deliveries, including packages, mail and occasional phone calls; Maintain office-wide subscriptions
Coordinate office events (weekly lunches, staff meetings, happy hours, special events, etc.) in conjunction with other individuals and teams across Builders Vision
Support successful onboarding of new employees, working closely with colleagues in Operations (HR, IT) and executive assistants across the office
Facilitate COVID protocol to ensure we maintain a safe working environment for all employees (acquisition of masks and rapid tests, in-office signage and processes, guest management protocols, related communications, etc.)
Serve as lead of Safety Team in case of building emergency
Serve as a primary liaison to building security and implement security practices on our floor
Implement best practices and procedures relating to office management and services
Acknowledge and attempt to accommodate requests of staff for all office-related matters
Manage highly confidential and sensitive information with the utmost discretion
Maintain up-to-date electronic and paper files
On occasion, as needed, provide backup support for Executive Assistants across the office

Qualifications required for your success
A minimum of 2 years of administrative or office management experience in a dynamic environment; past experience managing a complex office move is a plus
Existing knowledge or ability to quickly learn and become proficient in Microsoft Office suite, Google Workspace, Slack, Box, Concur, Workday, Salesforce, Simpplr Intranet and other platforms as introduced.
Must be able to routinely use standard office equipment such as computers, phones, photocopiers, filing cabinets and scanners and work for extended periods of time in front of a computer screen. Some walking, bending, stooping, pushing and pulling is required. Must be able to lift up to 10lbs on a regular basis and up to 25lbs on an occasional basis.
