The Assistant Project Manager will assist the Senior Project Manager with specific administrative tasks related to special projects and/or any other assigned construction projects. The Assistant Project Manager will plan, organize, and monitor the progress of assigned projects while ensuring that the proper resources are available, deadlines are managed, and appropriate meetings and appointments are scheduled.
The Assistant Project Manager carries out the necessary daily tasks to keep assigned projects on track, ensuring the project’s success. The Assistant Project Manager will support the coordination and management of assigned projects, contribute to the planning and development of assigned projects, and be responsible for performing administrative tasks such as preparing invoices, building estimates and scheduling meetings. The Assistant Project Manager will develop and maintain a professional relationship with all staff, guests, volunteers, and all stakeholders of the organization.
What you will do:
Key Roles & Responsibilities
Coordinate project management activities, resources, equipment, and information related to assigned construction projects.
Liaise with internal clients (staff) to identify and define requirements, scope, and objectives.
Work with various teams and stakeholders to monitor project progress and provide oversight to ensure projects are completed promptly and within budget.
Research information to support other teams and departments as needed.
Additional Responsibilities
Review and prepare invoices and pay applications for payment.
Assist Senior Project Manager in creating appropriate RFQ, RFP, and other related construction documents.
Complete any tasks assigned by Senior Project Manager in an efficient and timely manner.
Coordinate travel and itineraries for the construction team.
Qualifications required for your success:
Minimum of two years relevant project management experience; non-profit experience preferred.
Proven work experience related to project planning, workflows, schedules, and resources.
Associates degree preferred but not required.
Experience in project management, utilizing Excel and other MS software.
Ability to prepare schedules and step-by-step action plans.
Strong communication and teamwork skills.
Excellent time management skills and the ability to collaborate with internal clients and teams to deliver results.
Self-motivation, attention to details, and strong organizational skills are essential.
Ability to understand and maintain the highest level of confidentiality.

Physical demands: Occasionally, while performing the duties of this job, the employee is required to travel independently regionally and in communities served. In the work environment described below, position requires works at a desk and utilizing a computer and a telephone for prolonged periods of time and good eye/hand coordination, bending, and stretching for filing, and physical stamina to life a minimum of 25 pounds to a height of at least three feet for art materials storage and preparation and as appropriate for the demands of the division office. Visual acuity to review written materials is required for this job.
Work Environment: Work will be performed in an office environment, museum spaces, and in communities served. Occasional evening and weekend hours are required. The noise level in the Museum work environment is usually low to moderate.
